Cutting post-publish content marketing time 90% with an AI-assisted distribution system
I turned Gravity Wiz’s post-publish checklist into an AI-assisted distribution system, reducing the time spent on each article by 90%. The workflow handles routine promotion and discovery work so the content team can focus on producing stronger material.
Less time on post-publish marketing
A more consistent process across every article.
More capacity for higher-value editorial work.
Context
I first built a lightweight post-publish campaign process for every new article Gravity Wiz publishes, covering internal linking, potential newsletter placement, social scheduling, related-content checks, and SEO/GEO tactics. Once that checklist proved valuable in helping with content promotion, I automated it with AI.
My role
I created the original post-publish process, found what works for content exposure, then built AI skills that automated the repeatable research and administrative work while leaving final placement, outreach, and publishing decisions with people.
Actions taken
- Created a standard post-publish process for every article. Examples:
- Found relevant on-site pages where the new resource could be linked if it has value.
- Identified off-site opportunities and prepared a pitch where appropriate.
- Added the article to Gravity Wiz’s weekly reader update.
- Added it to the social scheduling process.
- Checked whether the new article affected or outdated existing content. Gravity Wiz has tons of content — it’s not uncommon that something new affects other articles on-site.
- Reviewed the page against an SEO/GEO template I developed.
- Built the automation from evidence in all Notion tasks, PostHog, Search Console, and customer-journey data.
- Scraped existing data on content via PostHog, Search Console, customer journey data. When I have an idea of what works I looked at our existing Notion cards for repeated tasks.
- Built an AI skill that runs the post-publish workflow.
- Researches relevant on-site and off-site linking opportunities. Drafts either the on-site wording to that article, or a pitch if it’s off-site.
- Adds the new article to the appropriate Notion campaign cards and publishing queues.
- Prepares newsletter and social-scheduling tasks.
- Identifies related content that may need updating.
- Runs an SEO/GEO analysis against an existing optimization template (this is also done prior to publish, but it adds a nice verification step).
- Kept final placement, outreach, and publishing decisions under human review.
Results
- Reduced time spent on post-publish marketing by 90%.
- Made the process more consistent across every article.
- Freed the content team from routine administrative work so they could focus on higher-value editorial work.
