Building an AI-assisted release process that automates 75% of launch preparation
I built an AI-assisted release process that automates roughly 75% of Gravity Wiz’s launch-marketing preparation before the process begins.

More capacity for creative marketing.
Context
Gravity Wiz has 80+ products and 1000+ code snippets. They release new products and large updates almost weekly.
With each release, I’d love to do a marketing campaign from scratch. Even weeks ahead. But that’s not how it always goes — managing a team of four, ad campaigns, sales pipelines, and working as acting editor over our team is a full time job — and with our volume and resources, sometimes, marketing finds out about a release a few days prior. This can be a great thing — but it also means we need to act fast.
After running enough launches to identify the highest-leverage recurring work, I built a release-marketing checklist; that structured process and its history in Notion created the foundation I later automated with AI.
My role
I identified the repeatable work behind successful releases and designed a system to automate them while leaving important creative decisions, coordination, and approval to people.
Actions taken
- Scraped Gravity Wiz’s archive of post-release marketing cards in Notion.
- Included the main cards and their sub-cards containing decisions, ideas, tasks, and prior campaign context.
- Built the reusable context behind the automations.
- Combined Gravity Wiz’s voice documents, advertising data, a website-content scrape, forum discussions, customer pain points (via anonymized feedback), and existing copy.
- Analyzed previous high-performing release campaigns, their actions, and channel strategies to identify repeatable success.
- Created a prioritized hot list of the highest-leverage release tasks.
- Covered administration, documentation, product positioning, affected content, announcements, paid media, partners, and measurement. Gravity WIz does a lot for reach release — this is a very high level summary.
- Built an AI skill that automates the repeatable preparation.
- Finds supporting evidence and external signals.
- Drafts initial positioning, email options, social posts, and internal announcements.
- Identifies existing content affected by the release, points to the exact sections, and drafts possible updates.
- Generates three data-informed article ideas for the release.
- Flags stakeholders, assets, and administrative tasks required before launch.
- Kept the final 25% focused on human review, technical accuracy, coordination, and creative execution.
Results
- 75% of the post-release marketing checklist is completed before the team starts. Everything that doesn’t require human judgement is done, and the tasks that do require human input are sped by significantly.
- The system creates the administrative tasks and notifies relevant stakeholders.
- It drafted initial positioning from forum discussions, community conversations, Help Scout feature requests, and related evidence.
- It generated three data-informed article ideas for each release.
- It identified existing content sections affected by the release and drafted potential replacement wording.
- It prepared starting points for email, social, and internal announcements.
- My favorite part: this frees us up to focus on creative marketing ideas while getting the boilerplate stuff out the way.
